Privacy Policy
Draft for review. This policy is not yet in effect.
ManyOrbits (manyorbits.com) is run by Myers Legacy Brands, LLC (“we”, “us”). This policy explains what information we collect, why, who we share it with, how long we keep it, and the choices you have. Questions: support@manyorbits.com, or ManyOrbits, Myers Legacy Brands, LLC, P.O. Box 151, Marion, NC 28752.
1. What we collect
Athlete profiles
Profiles are public pages about athletes: name, sport, events, photos, bio, results, records, achievements, links and similar details.
- Profiles you create or claim. We store what you enter, plus the email address you use to manage the profile. Your email address is never shown on your profile.
- Profiles we start for you. Some profiles were started by us before the athlete claimed them, using publicly available information: published meet results, news and organization articles about the athlete (such as USATF and Senior Games coverage), and the athlete's own public social media pages. If one is about you, you can claim it, correct it, or ask us to remove it (section 6).
Requests you send us
When you ask to claim a profile, ask us to create one, submit a meet, or contact us, we keep what you send: typically your name, email address and message.
Following an athlete
If you follow an athlete, we keep your name, email address, which athletes you follow and when, and whether you asked for email updates. If you also tick the box to hear from AthleForte, we record that too (section 4).
Signing in
Signing in works by emailing you a one-time link. We don't use passwords for members.
Website analytics
We measure how the site is used with our own first-party analytics. For each page view or action (such as a search, a follow or a profile edit) we record:
- the page, the time, and the page or campaign that brought you here;
- a random visitor ID and session ID stored in cookies (section 5);
- if you're signed in to your own profile, which profile;
- a coarse device type (phone, tablet or computer), worked out from your browser and then discarded.
We do not store your IP address or your full browser details in our analytics, and we don't use third-party advertising or tracking services. Our hosting provider keeps standard server logs, which include IP addresses, for security and troubleshooting (section 4).
If you visit from the UK, the EU, the EEA or Switzerland (worked out from your connection, and not stored), we set no analytics cookies and record your visit without any visitor, session or member ID, and with only the website that linked to us, not the full address. Videos from other sites load only when you choose to play them, and pictures hosted on other sites aren't shown.
Emails we send, and how they perform
We send sign-in links, profile approval and welcome emails, weekly updates to followers who asked for them, and a short series of How-To tips to athletes with a profile. For members whose profile is in the United States, we measure the How-To tips, so we can make them more useful (members elsewhere get the same tips with ordinary links, and nothing is measured):
- whether each email was delivered or bounced, or was reported as spam;
- whether you clicked a link in it. Links in these emails pass through manyorbits.com/go/… before taking you to the page;
- whether you then updated the related part of your profile, or came back to the site while signed in, within 14 days.
We don't use tracking pixels or record whether you opened an email. We record clicks, profile updates and visits against your profile so we can count them, and we look at them only as totals for each email, never as one member's activity. These records are deleted after 90 days, and straight away if you unsubscribe from the tips.
2. How we use it
- To publish and run athlete profiles, and let owners manage them.
- To handle claims, profile requests and meet submissions.
- To send the emails you asked for, or that come with having a profile (sign-in links, approvals, the How-To tips).
- To understand which pages and emails are useful, and improve them.
- To keep the site secure and prevent spam and abuse.
We don't sell your personal information, share it for targeted advertising, or use it for targeted advertising ourselves.
3. Visitors from the UK and EU
Where UK or EU data protection law applies, we rely on: your consent (email updates, the AthleForte opt-in); what's needed to provide the service you asked for (your profile, signing in); and our legitimate interests in running, improving and securing the site (counting visits without identifying you, profiles started from public information, and checking forms aren't filled in by bots), balanced against your rights. As described in section 1, we set no analytics cookies for visitors from these places, and we don't measure How-To emails sent to members whose profile is there. You can also complain to your local data protection authority.
4. Who we share it with
Only these service providers, who process it for us under their own privacy and security terms:
| Provider | What for |
|---|---|
| Vercel | Hosting the site, storing uploaded photos, server logs |
| Upstash | Our database |
| Resend | Sending email, and reporting deliveries and bounces |
| Cloudflare (Turnstile) | Checking forms are filled in by a person, not a bot. Its check runs in your browser on pages with a form |
Other sites: some profiles show videos from YouTube or other video sites, which load from those sites under their own privacy policies (YouTube videos use its privacy-enhanced mode, which sets no YouTube cookies until you play one). Links to other sites take you to sites with their own policies.
AthleForte: if you tick the box asking for updates from AthleForte when following an athlete, we share your name and email address with AthleForte for that purpose. AthleForte is another brand operated by Myers Legacy Brands, LLC, and uses them only to send you its updates, which you can unsubscribe from at any time.
We may also disclose information if the law requires it, or to protect the safety of our users.
5. Cookies
All of our cookies are first-party; no advertising cookies.
| Cookie | What it does | How long |
|---|---|---|
| mo_vid | A random visitor ID for analytics | 13 months. Not set for visitors from the UK, EU, EEA or Switzerland |
| mo_sid | A random session ID for analytics | 30 minutes after your last page. Not set for visitors from the UK, EU, EEA or Switzerland |
| athletehub_owner_session | Keeps you signed in to your own profile | 1 year, or until you sign out |
| athletehub_follower_email | Remembers the email you followed with, on this device | 1 year |
| athletehub_admin_session | Admin sign-in (staff only) | Until the browser closes |
| mo_testing | Marks our own test visits so they aren't counted (staff only) | 30 days |
You can delete or block cookies in your browser. The site still works, but you'll be signed out and your visits will be counted as new.
6. Your choices and rights
- Unsubscribe from any email. Every follower update and How-To tip has a one-click unsubscribe link. Unsubscribing from the How-To tips also deletes what we measured about how you used them. You can also turn the tips off or back on from your profile editor.
- Edit your profile at any time once you've claimed it.
- Ask us to remove a profile about you, or to access, correct or delete your information, by emailing support@manyorbits.com. We'll confirm it's you before acting.
- Stop following an athlete at any time.
- Depending on where you live, you may have other rights over your information. We honor the requests above from anyone, wherever they live.
7. How long we keep it
| Information | Kept for |
|---|---|
| Profiles | Until removed, by you or us |
| Claim and profile requests | As long as we need them to run the site, or until you ask us to delete them |
| Follows and email preferences | Until you unfollow or ask us to delete them |
| Website analytics (page views, actions, and the visitor record behind the mo_vid cookie) | 13 months, then deleted automatically. After that we keep only counts per profile, such as how many times it was viewed, which don't identify any visitor |
| How-To email performance (delivery, clicks, related profile updates, signed-in visits) | 90 days, or until you unsubscribe from the tips |
| Records that we already handled an email-provider notification | 7 days |
| Email delivery records at Resend, and server logs at Vercel | As set by those providers |
8. Security
We use HTTPS throughout, signed one-time sign-in links, signed cookies and signed email links, and we limit access to personal information to the people who run the site. To stop forms being flooded with spam by visitors we set no cookies for, we count their submissions using a scrambled form of their connection's address that changes every day and is deleted within an hour; the address itself is never stored. No system is perfectly secure; if a breach affects you, we'll tell you as the law requires.
9. Children
ManyOrbits is for adult athletes and isn't directed at children. We ask everyone who creates or claims a profile to confirm that they, and the athlete it's about, are 18 or older. We don't knowingly collect information about anyone under 18; if you believe we have, contact us and we'll remove it.
10. Changes
If we change this policy, we'll update the effective date above, and for significant changes we'll tell members by email or on the site.
